How to set up LotLinx - Operations/INTERNAL ONLY

The following instructions are to be followed to set up LotLinx for a dealer

HubSpot

Emails

  1. Login > Open “Companies” and click on the “Lotlinx GA4 Onboarding” tab (you may have to add it to your tab view).
  2. Once you open a rooftop > click on “email” and add to whom it needs to be addressed.
  3. Click “Templates” and type in the search box “GA.”
  4. For new dealerships (typically, their first email about GA4), click the “NEW DEALERS” template. 
    • For current/existing dealerships (their 2nd/3rd/4th emails), use the “EXISTING DEALERS” template.
  5. Once the template has been added–FOR 2ND/3RD/FINAL EMAILS ONLY–put that at the beginning of the already filled subject line (i.e., SECOND ATTEMPT, THIRD ATTEMPT, FINAL ATTEMPT). Be sure it’s in all caps at the beginning of the subject line.
  6. Be sure to CC the PE on the account and the Lotlinx email (lotlinx@lotpop.com).
  7. Send the email.

Updating the Company

  1. Once you have sent the email, scroll down to the “Lotlinx” dropdown on the left panel.
  2. Each category should be as follows:
    1. Lotlinx Status: GA4 Non-Active
    2. Lotlinx Onboarding Status: this will reflect what email attempt you are on.
      1. First, Second, Third, Final
    3. GA4 Email Sent: This will be the original date for the first GA4 email. If you send the second, third, etc. email, it will not change.
    4. Instructions Sent: Really, this is a reflection of the above.
    5. Lotlinx Last Contacted: This will ideally be today’s date–the date you sent each email. So, this will change according to the second, third, etc. emails.
    6. Lotlinx Data in LotWalk: GA not received.

Lotlinx Site

  1. Once you have received an email that they have followed the instructions and set everything up, you will go to this website here.
  2. Fill everything out on the site according to what rooftop you need to set up:
    1. Name
    2. Address
    3. URL to their website
  3. Click “Submit.”

LotWalk Update

  1. Open HubSpot:
    1. Go to that company
    2. Scroll down to the Lotlinx box on the left side
    3. Change:
      1. Lotlinx Data in LotWalk: Processing

LotWalk Integration

Lotlinx Email

  1. You should have access to the Lotlinx email:
    1. User: lotlinx@lotpop.com
    2. Pass: Lotlinx123!
  2. In the next few days (sometimes the following day), there will be an “Unprocessed Lotlinx Files” email.
    1. It will look similar to this:
  3. Take the portion that is after the “lotlinx_” and before the “.csv,” and copy it (i.e., Mercedes-Benz of Midlothian).

LotWalk Setup

  1. Once that portion only has been copied, open up LotWalk.
  2. Click: Admin > Dealers dropdown > Dealers
  3. Type that dealership into the search box (if you try to paste it in, sometimes it won’t work because Lotlinx will name the file differently than what the store is called in our system.)
  4. Click on the far right box, which looks like a piece of paper and pencil, to open up the dealer info.
  5. Scroll down until you see “Lotlinx Code,” and paste in the copied portion.
  6. Scroll down and click “Update Dealer.”

Data Check

  1. Once the next day rolls around, check that the data has been uploaded:
    1. Login to LotWalk
    2. Click the LotParty dropdown > Price Changes
    3. Scroll to the right (you may not have to) and find the “Lotlinx” column. There should be data on the majority of the vehicles.
  2. If there is data, open HubSpot:
    1. Go to that company
    2. Scroll down to the Lotlinx box on the left side
    3. Change:
      1. Lotlinx Status: GA4 Active
      2. Lotlinx Onboarding Status: Complete
      3. Lotlinx Data in LotWalk: Done
